Safety Department · driver qualification
What is a Driver Qualification File (DQF)?
A DQF is a collection of records used to document a driver's qualifications. It helps a carrier show what was checked and why the driver was approved for the role.
The practical question is whether the driver can be assigned to the work and which records support that decision. FMCSA describes the records carriers must maintain in its Driver Qualification File guidance. FMCSA: Driver Qualification File ↗
A practical review
- Identify the driver and role.Check that the records belong to the same person and match the type of operation.
- Review records and requests.Compare the application, driving record (MVR) and other applicable qualification evidence with current requirements.
- Track recurring reviews. Some checks and records need follow-up. Note due dates, the reviewer and the decision.
- Control access.Give authorized staff access to necessary records while handling more sensitive information separately.
Common DQF mistakes
- Assuming one valid document means the entire file is complete.
- Storing scans without a clear link to the driver, review date and reviewer.
- Missing an expiration date or a scheduled review.
- Mixing qualification records with separately controlled sensitive information.
Ask yourself: could a colleague open the file today, find the basis for this driver's qualification decision and see when the records were last reviewed?
How VR Academy teaches this
DQF is covered in the first Safety Department module. Learners review a fictional case and practice spotting discrepancies in the MVR Screening simulator before making a decision. Safety Department ↗
